Refund & Cancellation Policy

How our engagements are structured

Most projects are billed in stages: an upfront deposit to begin, one or more milestone payments as work is delivered, and a final payment on completion. The exact split is set out in your project's proposal or SOW.

Deposits

The initial deposit reserves our team's time and schedule for your project and covers the discovery/planning work that starts immediately. Once work has begun, the deposit is non-refundable — it reflects time and capacity already committed, not undelivered work.

Milestone payments

If a project is cancelled partway through, we only invoice for milestones actually delivered (or in progress, prorated for the work completed). Any milestone payment made in advance for work that hasn't started is refundable; payment for work already completed or in progress is not.

If you need to cancel

Email info@codenine.in with your project name and we'll confirm in writing what's been delivered, what's in progress, and what (if anything) is due back to you under the terms above.

If we can't deliver

If Code Nine is unable to complete agreed work, you're entitled to a refund of any fees paid for the undelivered portion of the project.

What's never refundable

Third-party costs we've paid on your behalf and passed through — domain names, software licenses, stock assets, hosting or API fees already purchased for your project — aren't refundable once incurred, since we've already paid them out to the third party.

Processing time

Where a refund is due, we process it within 7 business days of confirming the amount, back to the original payment method.

Disputes

If we disagree on what's owed, we'll work it out in good faith first; unresolved disputes are handled per the governing law and jurisdiction in our Terms & Conditions.
